Summary

Our client, a law firm in the financial district of Manhattan, is seeking a Legal Administrative Assistant with 3-7 years of experience.

Responsibilities

Drafting and Client Communication:

Draft engagement letters and submit them to potential clients.
- Process new client/matter cases into the in-house database for conflict checks.
- Receive clients and visitors, maintaining good public relations and observing confidentiality.
- Document Management:

Prepare, edit, proofread, and maintain legal documents for attorney review.
- Handle redlines, Table of Authorities (TOAs), and Table of Contents (TOCs).
- Transcribe information from typed or handwritten notes.
- Administrative Support:

Develop and maintain practice group budgets.
- Coordinate attorneys’ travel arrangements and maintain calendars.
- Manage client and general files, ensuring deadlines are met.
- Assist with PowerPoint presentations and other materials.
- Office Operations:

Answer phone lines and route calls.
- Assist with meeting planning and coordination.
- Process attorneys’ time entries and assist with billing.
- Additional Duties:

Provide coverage during legal administrative absences.
- Perform legal research and special projects as needed.

Qualifications

Bachelor’s degree and 3-7 years of equivalent work experience.
Strong computer skills, including proficiency in Microsoft Word, Teams, Excel, and PowerPoint.
Familiarity with document management, time management, and invoicing systems.
Exceptional written and verbal communication skills.
Comfortable providing comprehensive administrative support to multiple team members, including remote attorneys.
Detail-oriented with excellent editing and proofreading skills.
General knowledge of firm accounting practices related to attorney time entries and client billing
Critical thinking, problem-solving, and judgment skills.
Ability to maintain confidentiality and handle sensitive information.
Willingness to work overtime when necessary.
